Moorhead Law Group is seeking a highly capable, polished professional to join our Santa Rosa Beach office as a Front Office & Legal Assistant. This position is essential to the daily operations, organization, and professionalism of the firm.
Our practice focuses on real estate, business, and estate planning/probate matters, including both transactional and litigation work. The right candidate is service-oriented, organized, resourceful, and exercises sound judgment and discretion in a legal environment. This role is ideal for someone who enjoys being client-facing while also providing meaningful administrative and legal support behind the scenes.

This is not a passive receptionist role. We are looking for someone who takes ownership of the office environment, exercises good judgment in determining when to research independently and when to seek guidance, and understands the importance of professionalism, discretion, and follow-through in a legal setting. Core Responsibilities
- Answer telephone and greet clients and visitors in a friendly, energetic, and professional manner;
- Field inquiries for legal services via phone and email
- Schedule meetings, conference calls, and deadlines and monitor multiple calendars and priorities
- Assist attorneys by helping ensure schedules, deadlines, and tasks remain organized and on track
- Draft, format, and revise formal correspondence and legal documents at attorney direction
- Proofread all outgoing correspondence and documents for accuracy, grammar, formatting, and professionalism
- Maintain physical and electronic client files with strong attention to detail and deadlines
- Review, process, and distribute incoming and outgoing mail and deliveries in a timely and organized manner
- Perform clerical duties including typing, scanning, filing, record keeping, and photocopying
- Maintain professional reception, conference room, and common areas
- Monitor office supplies including coffee, paper products, and general office needs and coordinate with third-party vendors as necessary
- Provide administrative and legal support to partners, attorneys, and paralegals
- Anticipate needs, identify issues, and resolve routine problems independently when appropriate
- Perform related duties as assigned
Required Skills & Qualifications
- Excellent written and verbal communication skills
- Strong proficiency in Microsoft Outlook and Microsoft Word, including the ability to properly format formal business and legal correspondence
- Exceptional proofreading and attention-to-detail skills
- Proficiency with Adobe, including PDF creation, editing, combining, and management
- Highly organized with strong attention to detail and accuracy
- Tech-savvy and comfortable learning firm-specific systems and tools
- Ability to manage time independently, multitask effectively, prioritize, and meet deadlines
- Ability to maintain strict confidentiality and exercise discretion with sensitive matters
- Professional demeanor with a positive, service-oriented attitude
- Resourceful problem-solver who knows how to research answers independently and make effective use of internal resources
- Excellent data entry skills;
- Enthusiasm and positive attitude; and
- Excited about the ability to work as a team.
Preferred (But Not Required)
- Microsoft Excel proficiency
- Prior law firm experience as a Legal Assistant or Paralegal
- Experience with case management software, court e-filing portals, and/or e-recording
- General familiarity with court rules and procedures
